Obtain Your Abstract Number
Enter the Last Name of the First Author then press "Submit Query" to get a list of ALL ABSTRACT TITLES for
the author requested for the current fiscal year.
Part II: Instructions on Submitting your Experimental Abstract
Abstract
Download and SAVE one of the following templates to your hard drive. Note: Do not open the file from your browser.
DO NOT USE A TEMPLATE FROM A PRIOR YEAR. Modifications have been made to the templates.

Format for Completing Your Abstract After Downloading Template
Abstract No.: Type over indicated text with your Abstract number.
Title: Use Initial Capitals (do not use not lower or UPPER case text). AVOID using symbols,
superscripts and subscripts in your titles. They will convert to basic text when displayed in html documents.
Authors' Names and Institutions: Enter each author and his/her institution. Abbreviate where possible. Example: S. Smith
(BNL/NSLS), R. Jones (SUNY Stony Brook) and K. Black (U. of Delaware)
Abstract Text:
- Avoid copying and pasting from another program. This may cause reformatting of pre-set fonts, paragraphs, text styles and alignment.
- Use only one space after each period.
- If some of the headings in the template (such as "Methods and Materials," "Results," etc.) do not apply to you, simply delete the heading.
Fonts: Do not change fonts while creating your abstract. The default font for text is Arial, 10 pt. The default font for figure captions is Arial, 9 pt. Be sure to return to Arial after using a different font for symbols.
Symbols:
- Wherever possible, use the written form of a symbol.
- If you must use symbols, use your word processor's function to "insert symbol." The character map
sets for (normal text), Arial, Symbol and Times Roman have many subsets of character types (e.g., Latin, Greek,
Mathematical symbols). If the symbol you require is not contained in one of these character sets, DO NOT use
another font or character set. Write out the written text form of the symbol.
- Avoid using bold, underline and italic functions unless they are absolutely necessary. You may use your word processor's superscript and subscript functions if required.
Quotation Marks: Commas and periods should be inside quotation marks, for example: All punctuation is to be "inside."
Reference Format: Follow the examples below.
- Journal Article: J. Milne and E.D. Johnson, "High Speed Hydraulic Scanner for Deep X-ray Lithography," Microsystem Technologies, 4, 117-120.

- Thesis: C. Brown, R. Smith, K. Jackson, and B. Barnett, "My Thesis," Ph.D. Thesis, U. of Chicago, IL, USA, 2000.
Length of Abstract: Should be up to one page. A second page is allowed if it is absolutely necessary.
Finalize Your Abstract Before You Send It:
- Do not submit incomplete abstracts.
- Spell and grammar check your entire abstract when you are done.
- You will NOT have the opportunity to make modifications.
Images: Figures and images enhance your abstract. Embed as many figures as you wish into your abstract.
- Acceptable formats are .jpg, .gif, and windows metafile. Do not embed any other format types. Images
create large files. We will notify you if the final file is too large for web purposes.
- Prepare your images in color.
- The NSLS Information & Outreach Office may review your images for content and quality for possible selection of cover
images for the Activity Report. If your images are selected for this additional exposure, you
will be contacted at a later date to create higher resolution images for this purpose.

Part III: Sending Your Files to NSLS
When your abstract files are complete, transfer them to NSLS User Administration via FTP to the
following FTP site: ftp.nsls-abs.bnl.gov (log in anonymously and be sure to send it in binary
format if there are figures embedded).
If you do not have access to FTP, you may either:
- Send a floppy disk, zip disk or CD-Rom (if CD-Rom, be sure to use a CD-R disk, not CD-RW). Do not email your abstract,
mail it to the followig address:

- Purchase or download FTP software. IPSWITCH offers a downloadable version of WS_FTP Limited Edition available free of charge if you are:
- a U.S. federal, state, or local government employee (government contractors must use WS_FTP Pro)
- a student, faculty member, or staff member of an educational institution
- a non-business home user (recreational use only)
To download WS_FTP LE, go to website: http://www.ftpplanet.com/download.html.
Download and install the software to your hard drive, and then send transfer to NSLS via FTP.
