Why submit an abstract?
Abstracts are a necessary part of our Department of Energy reporting process and aids in our funding application process. Abstracts will also be published in upcoming Activity Reports as well as on the conference website.

Deadline:
The deadline to submit abstracts is May 15, 2001.

Instructions: 
Only one abstract per registrant.
Your registration number will also be your abstract number. You will need this number when saving your abstract file, refer to the Instructions below for Naming Your Files.


 


Part I: Instructions on Submitting your Abstract and Images

Abstract:

Download and Save the template file to your hard drive.

EPSCoR Administration will make pdf files from your Word or WordPerfect Files ( DO NOT MAKE THEM YOURSELF ). To view sample abstracts, click on one of these links below:

Format for Completing Your Abstract:
( After Downloading Template )

Titles:
For all titles, use Initial Capitals (do not use not lower or UPPER case text).

Authors' Names:
For all authors, enter only the first initial of the first name (do not write out the full first name).
 
Abstract Text: 
  • Do not copy and paste from another program. This will cause reformatting of pre-set fonts, symbols, paragraph formatting, text styles and alignment. 
  • Use only one space after each period.
  • If some of the headings in the template (such as "Methods and Materials," "Results," etc.) do not apply to you, simply delete the heading.

Fonts:
Do not change fonts while creating your abstract. The default font is Arial. Be sure to return to Arial after using a different font for symbols. We will not be responsible for conversion of fonts and symbols which commonly occur for failure to follow instructions.

Font Sizes:
The title is 11 pt. The authors' names, abstract number, beamline number and figure captions are 9 pt. The body text is 10 pt. 

Symbols:  

  • Use your word processor's function to "insert symbol." The character map sets for (normal text), Arial, Symbol and Times Roman have many subsets of character types (e.g., Latin, Greek, Mathematical symbols). If the symbol you require is not located in one of these character sets, DO NOT use another font or character set. Contact EPSCoR for assistance. 
  • You may use your word processor's superscript, subscript, bold, underline, and italic functions if required.

Quotation Marks:
Commas and periods should be inside quotation marks, e.g.,          

All punctuation is to be "inside."

Reference Format: Follow the samples below.

Thesis

Size of Abstract:
Do not exceed one page including figures.

Finalize Your Abstract Before You Send it
  • Do not submit incomplete abstracts. 
  • Spell and grammar check your entire abstract when you are done. 
  • You will NOT have the opportunity to make modifications.

Images:
Figures and images enhance your abstract. Embed as many figures as you wish into your abstract, provided the text and images together do not exceed one page.

  • Acceptable formats are .jpg, .gif, and windows metafile. Do not use other format types. 
  • Prepare your images in color
  • EPSCoR Administration may review your images for content and quality for selection of cover and section cover images. If your images are selected for this additional exposure, you will be contacted at a later date to create higher resolution images for this purpose.

 

Naming Your Files:

last name_registration#.doc
last name_registration#.wpd

Example:  doe_1234.doc or doe_1234.wpd


Part II: Sending your Files to EPSCoR

When your abstract files are complete, email them to EPSCoR

If you do not have access to email, you may:

1. Send a floppy disk, zip disk ( standard, not super zips ) or CD-Rom ( if CD-Rom, be sure to use a CD-R disk, not CD-RW ).

Part III: Proofing Your Abstract 

One week after submitting your Abstract, proof your abstract  (in pdf version) at the following website(s). The only changes that will be allowed are corrections to symbols, if necessary. Due to time limitations, no text modifications can be made.

Note: Use all lower case and no spaces in the abstract name.
