Using the Document Check-in/Check-out Feature in FrontPage (FP)

This feature prevents conflicting document versions that results when several web authors are working on the same document simultaneously. Document check-in/check-out allows one author to check a file out for editing and preventing other authors from having editing access to that file, until it is checked back in. Other authors can open the page as read-only, but will not have editing capabilities until the file is checked in.

Note: Document check-in/ check-out includes all the files in your FrontPage web so you can also control editing of MS Office documents (doc, xls, ppt), PDF's and images.



How to Enable the Check-in/Check-out Feature

  • Open your website in FrontPage
  • Select Tools and Site Settings (FP2003), Web Settings (FP2002)
  • FP2003: Under the General tab select
    - Use document check-in and check-out
    option
    - Select, Check out files from the Local Web Site
    - Check, Prompt to check out file when opening a page
    - Select Apply and then OK to finish and close window

    FP2002: Under the General tab select
    Use document check-in and check-out option
    - Select Yes when prompted to proceed with the change
    - Select Apply and then OK to finish and close window

Using the Check-in/Check-out Feature

Each time you open these pages you will be prompted as to whether you want to check the file out. When you select "yes"  you can proceed with the editing. Other authors will be allowed "read-only" capabilities to the page(s) that you have checked out.  When you have completed your editing session you must "check-in" the page(s) to release it to other authors. File icons will appear next to the filenames indicating the check-in/check-out status of that file.

  • FP2003:
    - Green check - you have file checked out
    - Lock symbol - file is checked out by another author
  • FP2002:
    - Green dot - file checked in and available for editing
    - Red check - you have file checked out
    - Lock symbol
    - file is checked out by another author

Checking In Files

When you have completed your editing session you can release the document by right-clicking on the filename and selecting Check-in from the menu. The green check will be removed. You may have to refresh the page if the change is not automatic.  If you select Undo Check-out on this menu, your document will be restored to its original version and all changes will be discarded.

Note: simply closing the file does not check-in the page and release the file to other authors.

In the event that an author checks out a file and forgets to check it back in, contact a member of the Web Services group to have the file(s) released. Web Services can be contacted by sending an email to: www@bnl.gov

Disabling the Check-in/Check-out Feature

To disable the check feature:

  • Select Tools and Site Settings (FP2003), Web Settings (FP2002)
  • Under the General tab remove the check on the Use document check-in and check-out option.
  • Select Yes when prompted to proceed with the change
  • Select Apply and then OK to finish and close window

Viewing a Status Report on Checked Out Files

The Checkout Status report will show which files are checked out, when they were last checked out and by whom. It will also tell you where the file is located within your website as well. Note: This menu item will be grayed-out if the Check-in/Check-out feature is disabled.

To generate a report on checked out files:

  • Select View from the toolbar menu
  • Select  Reports > Workflow > and Check-out Status
  • File icons will appear next to the filenames indicating the check-in/check-out status of that file
