Poster Submission Guidelines
The instructions below will guide you through the poster submission process.
The NSLS-II and CFN Users' Executive Committees invite all scientists, researchers, post docs, and students to submit an electronic poster (e-Posters) for the Poster Session to be held during the annual Users' Meeting. The poster session will exhibit research that has been conducted in large part at an NSLS-II/NSLS beamline(s) and/or CFN facilities. Multiple entries by the same author are not permitted.
Post docs and students may enter their e-Posters in the Poster Contest. Cash prizes will be awarded and the winning e-Posters will be printed and exhibited in the NSLS-II and CFN facility lobbies after the Users' Meeting.
Virtual Poster Session
Poster presentations (.pdf and audio/video link) will be available throughout the meeting with a special viewing period between 5:30-6:30 on Monday, May 17th. There will be a Q&A session starting at 6:30 p.m. – 8:00 pm. During this time each presenter will be assigned one of three 30-minute Zoom breakout rooms to showcase their work to other meeting attendees. Presenters are also permitted to screen share supplementary material (e.g. PowerPoint slides.). The assigned timeslot will be emailed to the presenter upon acceptance of the poster entry. Only registered attendees can participate in the poster session. Please be available at your designated time.
There will be an option to register for the poster contest. The competition is limited to post docs and students ONLY and the presenter must be listed at the first author on the poster. To be eligible for the contest, the e-Poster must exhibit research work conducted primarily at the CFN and/or NSLS/NSLS-II. If you are participating in the poster contest, you must provide a link to a two-minute video that will summarize your work presented in your e-Poster submission. All video presentations (preferred format .mp4) must be hosted on an external platform (YouTube, Vimeo, Google Drive, Microsoft OneDrive, Dropbox, etc.) and must be able to be viewed from a browser.
This video submission must be done with two PowerPoint slides ONLY.
Judging will be conducted by an ad-hoc committee assembled by the Users' Executive Committee (UEC). Judges will evaluate your entry based on the quality of your e-Poster submission oral communication skills in the video submission, and your ability to answer questions during the Poster Q&A session on Monday, May 17th, at 6:30 p.m. Upon acceptance of your poster submission, a copy of the judging criteria will be provided to you. Award winners will be posted on the morning of Wednesday, May 19th. Awards winners will be presented at Wednesday morning's Plenary Session.
Poster titles and abstracts should be uploaded before April 30, 2021 to User’s Meeting website. Poster presenters must also be registered for the annual user meeting. Your registration ID will be required to submit through our online portal.
- Poster Format: Posters should ONLY be uploaded as a (.pdf) file.
- Poster Size and Orientation: e-Poster should be NO LONGER than 3-feet wide and 4-feet high using portrait orientation ONLY. Do not exceed this size! If your e-Poster is selected to be exhibited as a poster contest winner, the easels cannot accommodate larger posters or those in landscape orientation.
Poster session participants may also submit an optional two-minute MAXIMUM video (preferred format .mp4), or audio (preferred format .mp3) presentation link. All video or audio presentations must be hosted on an external platform (YouTube, Vimeo, Google Drive, Microsoft OneDrive, Dropbox, etc.) and must be able to be viewed from a browser. Preferred formats above are for drive uploads (not for YouTube and other platforms which directly run the video without viewer download). Both the e-poster and video link must be submitted no later than May 9, 2021.
POSTER CONTEST: participants must submit a (.pdf) poster plus a two-minute MAXIMUM video to participate in the poster contest.
Prior to submission, please make sure you have the following information:
- Your email address.
- Your Registration ID, which can be found in your confirmation email.
- Your poster title.
- Your poster abstract.
- Your e-poster in PDF format.
- Your optional video/audio presentation link (see requirements).
