Poster Submission Guidelines
The instructions below will guide you through the poster submission process.
The NSLS-II and CFN Users' Executive Committees invite all scientists, researchers, post docs, and graduate/undergraduate students to submit an electronic poster (e-Posters) for the Poster Session to be held during the annual Users' Meeting. The poster session will exhibit research that has been conducted in large part at an NSLS-II/NSLS beamline(s) and/or CFN facilities. Multiple entries by the same author are not permitted.
Post docs and graduate/undergraduate students may enter their e-Posters in the Poster Contest. Prizes will be awarded and the winning e-Posters will be printed and exhibited in the NSLS-II and CFN facility lobbies after the Users' Meeting.
Virtual Poster Session
Poster presentations will be available throughout the meeting with a special viewing period between 5:30–6:30 p.m. EDT on Monday, May 23. There will be a Q&A session from 6:30 p.m.–8:30 pm EDT. Only registered attendees can participate in the poster session. Please be available for the entire Q&A session.
The Poster Session will be held using vFairs virtual program platform. Poster presenters must submit a poster (PDF format) and other supplementary materials through vFairs.
A vFairs demonstration on how to use the platform will be held on May 2, 2-3 p.m. EDT. An email with a link will be sent to accepted poster presenters by April 29.
There will be an option to register for the poster contest. Participants must submit the following:
- A poster in PDF format
- A two-minute MAXIMUM video (preferred video format is .mp4)
- All video presentations must be hosted on an external platform (YouTube or Vimeo). If you are unable to upload your video to these platforms, vFairs will be able to assist.
- Two PowerPoint slides ONLY that summarize the work presented in the e-Poster submission.
Poster presenters will be awarded prizes based on the judging competition. The competition is limited to post docs and grad/undergrad students ONLY and the presenter must be listed as the first author on the poster. To be eligible for the contest, the e-Poster must exhibit research work conducted primarily at the CFN and/or NSLS/NSLS-II.
Judging will be conducted by an ad-hoc committee assembled by the Users' Executive Committee (UEC). Judges will evaluate your entry based on the quality of your e-Poster submission, oral communication skills in the video submission, and your ability to answer questions during the Poster Q&A session on Monday, May 23, at 6:30 p.m.
Upon acceptance of your poster submission, a copy of the judging criteria will be provided to you. Award winners will be announced on Tuesday, May 24, during the afternoon’s Plenary Session. Winners will be asked to provide a live two-minute presentation of their poster.
Poster titles and abstracts should be submitted by Thursday, May 11, 2023. Poster presenters must also be registered for the annual user meeting. Your registration ID will be required to submit through our online abstract submission portal.
- Poster Format: Posters should ONLY be uploaded as a (.pdf) file.
- Poster Size and Orientation: e-Poster should be NO LONGER than 4-feet wide and 3-feet high using landscape orientation ONLY. Do not exceed this size! If your e-Poster is selected to be exhibited as a poster contest winner, the easels cannot accommodate larger posters.
Poster session participants may also submit an optional two-minute MAXIMUM video or audio (preferred format .mp4). All video or audio presentations must be hosted on an external platform (YouTube or Vimeo). Both the e-poster and video link must be uploaded to vFairs no later than May 16, 2023, 11:59 pm EDT.
