Guidelines for the Photowalk Contest

After your Photowalk at Brookhaven Lab, you’ll have the chance to submit some of your best images to our photo contest. A panel of judges, comprised of Lab scientists and support staff, will determine a shortlist of 10 winning photographs, which will then be featured on our website.  

Brookhaven will forward the top three photos, as judged by that same panel, to the global photo competition held by the international Interactions particle physics collaboration (Interactions.org).

Photographer Guidelines

  • You must be at least 18 years of age to participate in the Brookhaven Lab Photowalk
  • You must be a U.S. citizen to participate in the Photowalk
  • Only photographers with confirmed registrations can participate – no additional guests.
  • Participants in the 2018 Brookhaven Lab Photowalk are ineligible to participate in the 2020 Brookhaven Lab Photowalk.
  • You are responsible for your own expenses and logistics for travel, accommodation, and other costs.
  • When you arrive at Brookhaven you will need to present a valid, government-issued photo ID that matches the name on your registration to enter the site.
  • You must wear long pants and flat, fully enclosed shoes.
  • The tour may include stairs and you must be capable of climbing them safely while carrying your camera and any gear or personal items.
  • When you arrive at Brookhaven, you must fill out and sign a photo release form if you wish to submit photos taken during the event to the Photowalk photo contest.
  • By registering for the Photowalk, you agree that Brookhaven Science Associates may use your image or likeness in any photos taken at the event for any purpose.
  • The day will begin with a safety briefing. If you are not present for the safety briefing, you WILL NOT be allowed to participate in the Photowalk, so please plan to arrive at least 10 minutes early.
  • During the Photowalk, you must adhere to all Brookhaven Lab safety rules and follow the instructions given by your Photowalk guides.
  • No eating or drinking is allowed in the technical areas. Water will be provided on the bus. No smoking is allowed in the buses or in any building on site.
  • Stay at all times with your assigned Photowalk group and guides, and use the shuttle provided by the Lab to travel between photo shoot locations. 
  • Stay within designated Photowalk areas, and stay out of areas marked with CAUTION tape or any other warning signs. No wandering off. No opening doors without authorization.
  • No standing above floor level. No using ladders or standing on chairs, tables or camera cases. Climbing on lab equipment or apparatus is prohibited and will not be tolerated.
  • Look around, walk around and take pictures, but do not touch any equipment or objects. Rearranging or moving items is not allowed. No opening cabinets, drawers, etc.
  • Large rolling cases for photo equipment will not be allowed. Each photographer must be able to carry all their photo equipment at once, and carry all personal items onto the shuttle bus in one trip. You may not bring an assistant, unless you require assistance due to a disability.
  • Photographers will not be allowed to plug in any electrical devices during the Photowalk. Make sure you have enough charged batteries to last the entire event (no more than four hours). The use of long cords (flash cords, sync cables, camera releases) that could be a tripping hazard will not be allowed.
  • The use of tripods will be allowed.
  • The United States Government, Brookhaven Science Associates, and their affiliates, subcontractors, or agents, are not responsible for any injuries, loss or damage incurred as a result of any participant’s attendance at this event.
  • Brookhaven Science Associates may cancel the event with limited or no notice at its sole discretion.
  • Your registration and participation in the Photowalk and the Photowalk Contest does not create or grant any rights or cause of action against Brookhaven Science Associates, its affiliates, subcontractors, or agents, or the United States Government, nor create any agency or employment relationship.
  • Brookhaven Science Associates has the sole and complete discretion to select, or not select, winning photographs in a manner of its choosing.
  • Be courteous to your fellow photographers.
  • Have fun.

Submission Guidelines

  • To participate in the photo contest, you must fill out and sign a photo release form when you arrive at the Brookhaven Lab Photowalk.
  • You may submit up to five photographs, and all images must have been taken during the Photowalk.
  • All images must be submitted by the deadline (TBD).
  • All images must be submitted in digital format, either online or by mailing in a memory stick. No hard copy prints will be accepted for judging.
  • Files can be color or grayscale. Final files can be either unaltered or altered in photo editing programs as long as all original image material was gathered with a camera the day of the Photowalk event. Photographers should retain all original images in case the judges require proof of source material.
  • File format must be JPEG, with file size not to exceed 20 MB for each image. File size/resolution must be large enough that Brookhaven Lab can produce 8x10-inch prints for an exhibit of the winning photos. We require at least 2500 pixels in the long dimension.
  • Files must be named in the following way: last name of photographer, followed by an underscore, followed by the first name, followed by an underscore, followed by a 2-digit sequence number starting with 01. Examples for photographer John Smith: smith_john_01, smith_john_02, etc.
  • Memory cards containing your five entries can be sent to the Brookhaven Lab Media and Communications Office. The shipping/mailing address is:
