Poster & Video Submission Guidelines

The instructions below guide you through the poster and video submission process.

Guidelines to Submit Posters

The NSLS-II and CFN Users' Executive Committees invite all scientists, researchers, post docs, and graduate/undergraduate/high school students to register a poster for the Poster Session to be held in-person at Berkner Hall, BNL, during the annual Users’ Meeting. The poster session will exhibit research conducted in large part at NSLS-II, CFN and LBMS facilities. Multiple first author entries are not permitted.

Post docs and graduate/undergraduate/high school students may enter their posters in the competition. Prizes will be awarded, and winning posters will be exhibited in the facilities’ lobbies after the Users’ Meeting.

In-person Poster Session

Posters will be available for viewing 9:00am – 5:00pm Mon-Wed (self-directed) during the Users' Meeting. Posters must be set-up before 12:00pm noon on Monday, May 13. Poster viewing and judging will be Monday, May 13, 5:30–7:30 p.m. Presenters are expected to be available during the entire judging session.

Only registered attendees can submit content to the poster session, and all on-site lab employees/visitors are encouraged to join the Poster Session.

Poster Competition

Poster winners will be awarded prizes based on the poster judging. The competition is limited to post docs and grad/undergraduate/high school students ONLY and the presenter must be listed as the first author on the poster. To be eligible for the competition, the poster must exhibit research conducted primarily at the NSLS-II, CFN and LBMS facilities.

Judging will be conducted by an ad-hoc committee assembled by the Users’ Executive Committee (UEC). Judges will evaluate your entry based on the quality of your poster, oral communication skills, and your ability to answer questions during the poster Q&A session on Monday, May 13, 5:30 p.m.–7:30 p.m.

Upon acceptance of your poster submission, a copy of the judging criteria will be provided to the poster presenters. Award winners will be announced on Tuesday, May 14, during the afternoon’s Plenary Session.

Poster Submission

  • Presenters are responsible for bringing printed posters to the venue (Berkner Hall, BNL). Note: Onsite printing services are not available.
  • Poster Size and Orientation:
    • Posters should be no larger than 3 feet wide by 4 feet high, using PORTRAIT orientation. DO NOT EXCEED THIS SIZE. Posters will be pinned to the poster wall at Berkner Hall. Larger sizes or landscape orientation cannot be accommodated. The poster must be contained on one sheet of paper (not as poster board).
    • There is limited display space and some posters may not be accepted. Multiple entries by the same author are not permitted.

Poster Setup

The poster hall will open at 7:00 a.m. All posters must be setup at Berkner Hall before 12:00 noon on Monday, May 13. The presenters are responsible to set-up their posters. A supply of push pins will be available in the poster set-up area for pinning posters to the poster wall.

Poster Registration

Poster submissions (titles & authors) will close on May 1. Poster presenters must be registered for the annual Users' Meeting. Your registration ID will be required to submit through our online submission portal.

All poster submissions must be submitted online by May 1, 2024, 11:59 pm EDT.

Guidelines to Submit Videos

Note - Users are strongly encouraged to participate and present their work in-person. If in-person participation is impossible, users can submit a short 2-minute video, which will be available for viewing via the Users’ Meeting website.

The instructions below will guide you through the video submission process.

The NSLS-II and CFN Users' Executive Committees invite all scientists, researchers, post docs, and graduate/undergraduate/high school students to submit a short 2-minute video to present their work. The video will be available for viewing on the Users' Meeting website. Through either professional presentations or creative content, the videos will exhibit research related to or conducted in large part at NSLS-II, CFN and LBMS facilities. Multiple first author entries are not permitted.

Post docs and graduate/undergraduate/high school students may enter their videos in the competition. The winning video, based on media guidelines, may be featured on the BNL social media sites.

Virtual Video Competition

Videos will be available for viewing virtually throughout the Users' Meeting website. Only registered attendees can submit content for the video competition. Judging will be conducted by an ad-hoc committee assembled by the Users’ Executive Committee (UEC). Judges will evaluate the entry based on the quality of the video submission, communication skills, as well as creativity.

The competition is limited to post docs and grad/undergraduate/high school students ONLY. To be eligible for the competition, the video must exhibit research conducted primarily at the NSLS-II, CFN and LBMS facilities.

Award winners will be announced on Tuesday, May 14, during the afternoon’s Plenary Session.

Video Registration

Video submissions will close on May 1. Video presenters must also be registered for the annual Users' Meeting. Your registration ID will be required to submit through our online video submission portal.

Deadline for submitting your final video link is May 3.

  • Video format: A two-minute MAXIMUM video (.mp4).
  • Video link: The video must be hosted on an external platform (YouTube, Vimeo, Google Drive, MS One Drive, Dropbox, etc.) and can be viewed on a web browser.
  • Submission: You can submit your video link along with your video title or you may email the video link to nsls2cfnusersmeeting@bnl.gov, but please do this before the May 3 deadline.

All video submissions must be submitted online by May 1, 2024, 11:59 pm EDT.
