Checklist for In-Person ePIC Collaboration Meeting
Step 1: Meeting Registration and Guest Access
Register for the meeting and submit payment .
Determine whether you require a Guest Registration (GR) for access to Brookhaven National Laboratory (BNL).
If a GR is needed, complete the process through the Guest Information System (GIS) .Note: Processing for non-U.S. citizens can take significant time. Please begin this step as early as possible.
Step 2: Travel and Accommodation
Book your travel and local transportation , and accommodations .
All reservations—including BNL on-site housing —must be made directly by participants.

Step 3: Prepare for Travel
January on Long Island, NY, can be cold, windy, and snowy.
Pack appropriately for winter conditions: warm clothing, a thick coat, hat, gloves , and footwear suitable for snow and ice.
If you plan to drive, be prepared for winter road conditions .
Step 4: Arrival and First Day Instructions
Meeting sign-in and sessions will take place in theb Science and User Support Center (Bldg. 101) at Brookhaven.
Building 101 is outside the laboratory’s main gate , and can be accessed easily by taxi or rideshare.
Free parking is available for participants arriving by car.
Bring your REAL ID-compliant driver’s license or your passport and required travel documents .
Important: Without valid identification, participants will not be permitted onsite and cannot enter Building 101 or attend the meeting.
