Event Access for Non-U.S. Citizens

Non-U.S. citizens must complete a Brookhaven Lab Guest Form and be approved in the Guest Information System (GIS) if they would like to attend this meeting.

It is advisable not to make travel arrangements until you are approved in GIS.

U.S. citizens who are planning to use Brookhaven Lab's onsite accommodations must complete a Brookhaven Lab Guest Form and be approved in the Guest Information System (GIS).

If you have a current Brookhaven Lab guest appointment and a valid BNL Guest Number or you have a pending Guest Registration (GR) Number, it is not necessary to complete the Brookhaven Lab Guest Form again.

Visa Information

Participants should check if they require a visa to enter the United States on the U.S. Department of State's U.S. Visas website.

Foreign travelers, who are citizens from certain eligible countries, may also be able to visit the U.S. for business (e.g., attend a scientific conference) or tourism for 90 days or less without a visa if they meet the Visa Waiver Program requirements. All eligible travelers who wish to travel under the Visa Waiver Program must apply for authorization online through ESTA (Electronic System for Travel Authorization).

If you require a visa to enter the U.S., we strongly recommend that you start the visa application process as soon as possible. View visa appointment and processing wait times.

Participants who require a letter of invitation for this event should contact Rachel Inguanta or Bisi Ogunleye at epic-bnl-cm-2026@bnl.gov and provide the following information:

  • Your full name (as it appears in your travel documents)
  • Your home institution name and address
  • Your position at your institution

Accommodations

This event will not have a hotel room block reserved with limited rooms. Participants should make their hotel reservation as soon as possible. When booking your reservation, you may need to guarantee your room with a credit card. Remember to ask about their cancellation policy and if they offer shuttle service.

Getting to the Meeting

Brookhaven is located in central Long Island, about 60 miles (95 km) east of New York City. Visitors can reach the Lab by air, train, or car. Since there is no public transportation to BNL, attendees are strongly advised to make car rental arrangements prior to arrival.

Winter Sightseeing and Things to Do on Long Island

Although January is the quiet season on Long Island, there are plenty of things to enjoy if you plan to extend your visit before or after the meeting:

  • Local Wineries and Breweries – The Long Island Wine Country area near Riverhead and the North Fork is open year-round for tastings and tours, often with cozy indoor seating and fireplaces.
  • Beaches and Coastal Walks – Even in winter, beaches such as Smith Point County Park and Robert Moses State Park offer beautiful ocean views and peaceful walks along the dunes.
  • Museums and History – Explore the Long Island Museum in Stony Brook, the Cradle of Aviation Museum in Garden City, or the Vanderbilt Museum in Centerport for science, art, and history exhibits.
  • Stony Brook Village – About 25 minutes west of BNL, this charming waterfront area has restaurants, coffee shops, and winter markets.
  • Nature and Parks – Bundle up and visit Brookhaven State Park or Southaven County Park for light hiking and birdwatching.
  • Day Trip to New York City – The LIRR makes it easy to reach Manhattan in about 90 minutes for museums, shows, or sightseeing before returning to Long Island.
