Poster Submission Guidelines
The instructions below guide you through the poster submission process.
The NSLS-II and CFN Users’ Executive Committees invite all scientists, researchers, post docs, and graduate/undergraduate/high school students to submit an electronic poster (e-Posters) for the Poster Session to be held during the annual Users’ Meeting. The poster session will exhibit research conducted largely at NSLS-II, CFN and LBMS facilities. Multiple first author entries are not permitted.
Post docs and graduate/undergraduate/high school students may enter the poster competition. Prizes will be awarded and winning e-Posters will be printed and exhibited in the facilities’ lobbies after the Users’ Meeting.
Virtual Poster Session
Posters will be available for viewing throughout the meeting in a virtual Gather world. Gather offers a virtual platform with interactions approximated to those possible in person. Only registered attendees can participate in the poster session. Presenters are expected to be available during the entire judging session.
Poster presenters must submit a poster (PNG format, file names as LASTNAME_FIRSTNAME.png) by email to (usersmeeting@bnl.gov) no later than Friday April 14th 2023, 5pm EST.
Information on how to navigate Gather will be sent out to all registrants separately.
Poster presenters can also record and submit a MAXIMUM 2 minute video (2 power point slides) to be added to their virtual poster area, which will be accessible throughout the whole week. The video must be hosted externally (e.g. youtube, vimeo, Google Drive) and a link to the video provided together with the poster file by email.
Poster Competition
The competition is limited to postdocs and graduate/undergraduate/high school students ONLY and the presenter must be listed as the first author on the poster. Awardees will be determined during the poster judging session to be held between 6:00 p.m–7:30 p.m. EST on Monday, April 24th. If entering the Poster competition, the presenter MUST be present for the poster judging session.
Judging will be conducted by an ad-hoc committee assembled by the Users’ Executive Committee (UEC). Judges will evaluate your entry based on the quality of your e-Poster submission, oral communication skills, and your ability to answer questions during the Poster judging session.
Upon acceptance of your poster submission, a copy of the judging criteria will be provided to poster presenters. Award winners will be announced on Tuesday, April 25th, during the afternoon’s Plenary Session. Winners will be asked to give a live TWO-minute presentation of their poster. The presentation can be supported by a maximum of TWO PowerPoint slides.
Poster Abstract
Poster titles and abstracts should be submitted by Sunday, April 9, 2023. Poster presenters must also be registered for the annual Users’ Meeting. Your registration ID will be required to submit through our online abstract submission portal.
Poster Submission
- Poster Format: Posters will ONLY be accepted sent as PNG files. Please check the resolution of your poster on your screen before submitting it.
- Poster Size and Orientation: e-Poser should be NO LONGER than 4 feet wide and 3 feet high using landscape orientation ONLY. Do not exceed this size! If your e-Poster is selected to be exhibited as a poster contest winner, the easels cannot accommodate larger posters.
